We got shit to do, so I am going to keep this short, sweet and to the point. My team and I deal with a LOT of emails and tasks on a daily basis. This is my super intense system, and hopefully you can use one or two points (or all of them)!

FIRST: Pen + Paper.
Lord help me, I need to cross things off the list. I have my daily list going constantly, tasks from emails I read, etc all go here. At the end of the day I delegate or dump them back into my project management software. If you don’t use software, at the end of the day start a clean list for the next day.

  1. Timer. I use a timer for everything, almost to the point of compulsion but it keeps me on task.

  2. Emails. I give myself 20 minutes for emails, unless I’m a day behind then a little more. I do not take action on emails, I skim and archive for things that are sent to keep me in the loop, I make a note if I want to register for an event, make note if I need to check on a client etc. I wait until step 5 to do tasks because at this point I am only processing information. I won’t get lost in 20-15 minute increments running around in circles down the task trail. #youknowwhatImtalkingabout

  3. Project Management Software: (20 minutes tops) Not everyone has this, but I love love love Asana. That’s how we keep track of client tasks, and our own enterprise tasks, assigned to us. I look at what’s assigned to me and add it into my daily list.

  4. Tasks: 3 - 4 hours. This is when you change your brain modes from skimming to getting shit done. Now you take that master list and take 2 minutes and what are 10 things you have to get done today. Assign a time it should take. If you have more than ten, delegate. Delegate if you hate doing it, or it takes you too long. I have a fresh sheet, and then I break into 20 minute segments and take a break and stand up every hour.
